Admin Office Assistant

Assist in the day-to-day operations of the University Housing and Dining Administration (UHD) front desk including answering and directing incoming phone calls and taking messages, responding to emails, explaining housing processes to students and families, and greeting incoming appointments and visitors.

Responsibilities

• Assist current and prospective students and families in resolving housing, general living, and campus problems and refer to appropriate advisory services.
• Provide information regarding upcoming processes and assist in disseminating pertinent information.
• Respond to inquiries and complaints from students, supporters and family members, staff, and the general public, and refer as appropriate.
• Answer phones and assist callers in a courteous manner.
• Respond to emails with accurate and timely information.
• Greet visitors and refer to appropriate members of UHD or other University offices.
• Demonstrate civil and respectful interactions with others.
• Develop a collaborative relationship with members of the department and the University community.
• Maintain privacy and utilize discretion when interacting with others to handle sensitive situations.
• Participate in ongoing professional development as determined by employee and supervisor.
• Perform assigned job responsibilities independent of direct supervision.
• Pick up/deliver mail from the Burge Hall Desk / summer operations desk. Sort and distribute mail.
• Become familiar with and answer inquiries regarding marketing in the residence halls and Market Places.
• Complete special assignments that assist in UHD Administration operations.
• May perform other duties as assigned.

• Supervision Received:
• General supervision is received from the assigned supervisor or designee. Other full-time staff in UHD may also assign tasks as needed.

Qualifications

• Enrolled as a student at The University of Iowa (during academic year).
• Excellent communication (verbal and written).
• Supportive of a workplace environment where people of all backgrounds feel welcome and appreciated.
• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
• Reasonable experience in handling multiple assignments, conflicting demands, or priorities.
• Demonstrated initiative and ability to manage work tasks with limited supervision on occasion.
• Excellent organizational skills.
• Demonstrated commitment to outstanding customer service.
• Must be able to work 8-20 hours per week during academic weeks.
• Hours during fall, winter, and spring break are required, with a max of 40 hours per week during break weeks.
• Summer hours range from 15-40 hours per week.
• Must successfully complete a criminal background check.

• DESIRED QUALIFICATIONS
• Experience living in the University of Iowa residence halls.
• Knowledge of UHD procedures and policies.

• Campus Security Authority Training
• Anti-Harassment Training for student employees
• Criminal Background Check upon hire
• Possible: Driver’s License Review if driving University vehicles is required during employment.
